Privacy Policy

SayScribe ("we," "our," or "the app") is a meeting recording and transcription app for iOS. Your privacy is important to us. This policy explains what data SayScribe collects, how it is processed, and how it is protected.

1. Data We Collect

SayScribe collects the following data solely for the purpose of providing its core functionality:

  • Audio recordings — captured by the microphone on your device when you initiate a recording or import an audio file.
  • Subscription status — managed by Apple through StoreKit. We do not collect your name, email, Apple ID, or payment information.

SayScribe does not collect: names, email addresses, phone numbers, location data, contacts, browsing history, search history, advertising identifiers, or any other personal information.

2. How Your Data Is Processed

  • Transcription: Audio is temporarily uploaded to our secure processing infrastructure for transcription. Audio is automatically deleted from our servers immediately after transcription completes. We use third-party transcription services that process audio under strict data handling agreements and do not retain audio beyond the processing window.
  • AI Analysis: Only the resulting text transcript (never audio) is sent to AI services to generate summaries, meeting minutes, action items, and other outputs. AI providers do not use your data for model training. Text may be retained by the AI provider for up to 30 days for safety monitoring, after which it is automatically deleted.
  • Local Storage: All recordings, transcripts, summaries, action items, and other outputs are stored locally on your device in the app's private database.

3. Third-Party Services

SayScribe uses the following third-party services for processing:

  • AssemblyAI (transcription) — audio is uploaded, transcribed to text, and immediately deleted from their servers. Not used for model training.
  • Anthropic (AI analysis) — only text transcripts (never audio) are sent to generate summaries, minutes, action items, and other outputs. Not used for model training. Text may be retained for up to 30 days for safety monitoring, after which it is automatically deleted.
  • OpenAI (AI analysis) — may be used for certain AI processing tasks. Only text transcripts (never audio) are sent. Not used for model training.
  • Google (AI analysis) — may be used for certain AI processing tasks. Only text transcripts (never audio) are sent. Not used for model training.
  • Cloudflare — stateless API proxy that routes requests between the app and processing services. No request data is stored.

All data transmitted to third-party services is encrypted in transit via HTTPS/TLS.

4. Calendar and Reminders

SayScribe can optionally access your calendar events and reminders with your explicit permission. This uses Apple's on-device EventKit framework. No calendar or reminder data is sent to external servers.

5. Backups

Backups are created locally on your device and shared via iOS's standard share sheet. Backup files are encrypted. SayScribe does not upload backups to any server.

6. Data Retention and Deletion

  • Audio on our servers: deleted immediately after transcription.
  • Audio on your device: stored until you delete the recording.
  • Transcripts and AI outputs on your device: stored until you delete the recording.
  • To delete all data: delete individual recordings within the app, or delete the app entirely.

7. Children's Privacy

SayScribe is not directed at children under 13 and does not knowingly collect data from children.

8. Changes to This Policy

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent revision. Continued use of the app after changes constitutes acceptance of the updated policy.
